Terms of participation
The general rules for exhibitors, delegates and other participants at the Made in Bangladesh Expo in São Paulo, Brazil.
About these terms
These terms are set by the Brazil Bangladesh Chamber of Commerce & Industry (BBCCI), the organiser of the Made in Bangladesh Expo in São Paulo, Brazil. They apply to every company and person that takes part as an exhibitor, co-exhibitor, delegate or other paying participant. The sections on conduct at the venue and on photography also apply to visitors and the press.
Read them together with your proforma invoice, the deadlines BBCCI publishes for the edition, the exhibitor manual and the privacy notice. Where your invoice or a written agreement with BBCCI sets something different for your participation, that document prevails on that point.
When you accept these terms in the participant portal, you confirm that you are authorised to accept them for your company.
The organiser
BBCCI is a joint chamber licensed by the Ministry of Commerce, Government of Bangladesh. Address: Shanta Skymark, Level 12, 18 Gulshan Avenue, Gulshan, Dhaka-1212, Bangladesh. E-mail: [email protected]
For each edition BBCCI may work with partners in Brazil, for example for the venue, visitor registration or logistics, and announces them for that edition. Unless BBCCI tells you otherwise in writing, your agreement is with BBCCI.
Applications and acceptance
You apply through the participant portal and must give accurate, complete information and documents. BBCCI reviews each application and may accept or decline it, or ask for more information.
If information you give is found to be misleading or false, BBCCI may cancel the application or the participation.
Your participation is confirmed when BBCCI has issued your proforma invoice, you have accepted these terms and payment has been received as set out in the invoice. Until then, BBCCI may offer the stall to another applicant.
Keep your portal sign-in details private and tell BBCCI at once if you think someone else has used your account. Your company is responsible for what is done through its account.
Fees and payment
Fees, currencies, due dates and any instalments are as set out in your proforma invoice and the edition's published deadlines. Fees may be quoted in US dollars.
Participants in Bangladesh pay BBCCI in taka, in the amount shown on the invoice. Participants outside Bangladesh pay by bank transfer, as the invoice states. Bank or gateway charges, and any taxes, are applied as stated on the invoice.
The payment instructions page explains the payment methods; BBCCI's bank details are shown in the portal and on your invoice. If you pay by bank transfer or deposit, upload the deposit slip in the portal. BBCCI confirms each payment with a receipt.
What a package includes
What each stall or delegate package includes is described for the edition and on your invoice; anything not listed there is not included.
In 2025, air tickets, hotel, visa fees and freight for samples were not listed as part of the fee. Unless your invoice says otherwise, you arrange and pay for them yourself.
Stalls, representatives and badges
BBCCI allocates stall locations and may change a location if the layout of the venue requires it.
The number of representatives included with each stall is set out for the edition and on your invoice. Badges are personal and may not be lent, sold or passed on. To replace a representative, ask BBCCI; the refund policy explains how this works.
You may not sublet your stall or share it with another company without BBCCI's written consent.
Set up and clear your stall within the times BBCCI publishes, and leave the space as you found it. You are responsible for damage that you or your team cause to the stall, the venue or other people's property.
Visas and travel
Each participant arranges and pays for their own visa, flights, hotel and travel insurance, unless the invoice for the edition says otherwise.
Visa decisions belong to the Embassy of Brazil alone. A letter that BBCCI provides, or helps you obtain, supports your application but does not mean that a visa will be issued. Apply early and follow the embassy's own instructions.
If your visa is refused, the refund policy explains what happens to the fees you paid to BBCCI.
Exhibition goods and compliance
You are responsible for your exhibition goods: shipping them, clearing them through customs, meeting Brazilian rules and insuring them.
- Brazil does not accept ATA Carnets. Goods for display normally enter under temporary admission; they may be used only for the event and must then be re-exported or otherwise settled under the rules.
- Goods that will be sold or left with a buyer need a regular import by a Brazilian importer, with all duties, taxes and licences.
- Medicines not registered with ANVISA may not enter Brazil for exhibition. Food, cosmetics, sanitising products and medical devices need ANVISA's prior approval before they can be shown.
- Imported products must be labelled in Portuguese, as Brazilian rules require.
If BBCCI names an official forwarder or customs broker for the edition, follow its instructions and deadlines. This is general information, not legal or customs advice; confirm every requirement with a licensed Brazilian customs broker before shipping.
Conduct at the venue
Follow the venue's rules, the instructions of BBCCI's team and the venue staff, and Brazilian law, including health, safety and fire rules.
Show only goods and materials that you have the right to show; products, logos and designs must not infringe anyone else's trademarks or other rights.
Treat other participants, visitors and staff with respect. Keep promotion within your stall unless BBCCI agrees otherwise, and keep sound at a level that does not disturb others.
BBCCI may remove items, close a stall or ask a person to leave if they put safety at risk or seriously disrupt the expo.
Changes to the event
Dates, venue or programme may change, for example when the venue, the authorities or travel conditions require it. Dates or a venue announced as provisional may still change.
BBCCI informs participants in writing as soon as it can. If BBCCI changes the dates or venue, or cancels an edition, the refund policy explains the refund or credit that applies.
Cancellation by the participant
You may cancel your participation in writing, from the portal or by e-mail to [email protected]. Cancellation charges and refunds follow the figures BBCCI publishes for the edition, as explained in the refund policy.
Directory listing, logos and photos
With your company's consent, BBCCI lists your company name, logo, profile and products in the exhibitor directory on this website and in guides for the edition. You can update the listing in the portal or ask BBCCI to remove it.
You confirm that you hold the rights to the logos, images, videos and texts you upload, and you allow BBCCI to show them in the directory and in material about the expo.
BBCCI and its photographers photograph and film the expo, including stalls and people in public areas, and use the images to report on and promote the expo. If you prefer not to appear, tell the photographer or BBCCI.
Liability and events outside anyone's control
BBCCI is not responsible for loss of or damage to participants' goods, stall materials or personal belongings, or for lost business, unless it is caused by BBCCI's own fault. You are responsible for your team, your goods and their insurance.
Neither BBCCI nor a participant is responsible for failing to meet these terms because of events beyond their reasonable control, such as natural disasters, epidemics, war, strikes, airspace closures or decisions of authorities. The refund policy explains what applies in that case.
Nothing in these terms limits liability that cannot be limited by law.
Governing law and disputes
These terms are governed by the laws of Bangladesh, where BBCCI is licensed. This does not affect any mandatory rights you have under the law of your own country.
If a disagreement arises, write to BBCCI first. Both sides will try in good faith to settle it amicably before taking any other step.
