Cancellation and refund policy
How to cancel a booking, what happens to the fees you paid, and how refunds are made.
What this policy covers
This policy covers fees paid to the Brazil Bangladesh Chamber of Commerce & Industry (BBCCI) for the Made in Bangladesh Expo in São Paulo: stalls, delegate places and other paid categories. It forms part of the terms of participation.
Free registrations involve no payment and so no refund. In 2025, for example, registration was free for Brazilian trade visitors.
Where to find the figures
Cancellation charges, refund percentages and the dates on which they change are published by BBCCI for each edition and shown with your proforma invoice. The figures and terms in force when you accepted your participation are the ones that apply to you.
How to cancel
Cancel in writing, from the portal or by e-mail to [email protected] sent from your registered contact address. Say which participation you are cancelling and quote your invoice number.
The date on which BBCCI receives your notice is the date that counts. BBCCI confirms receipt in writing; if you do not receive a confirmation, contact BBCCI again.
Replacing a representative instead of cancelling
If a representative or delegate cannot travel, you may ask to replace them instead of cancelling. BBCCI decides each request, taking into account the time needed for new badges and visa documents. The replacement must meet the same requirements as the person replaced.
If a visa is refused
Visa decisions are made by the Embassy of Brazil, not by BBCCI. How a refusal affects the fees you paid to BBCCI is set out in the edition's terms; send BBCCI the embassy's decision as soon as you receive it.
The visa fee is paid to the embassy, not to BBCCI, and is not refundable.
If BBCCI changes the dates or venue
If BBCCI changes the dates or venue of an edition, it informs participants in writing. The options open to you are those BBCCI publishes for the edition and sets out in that notice.
If BBCCI cancels an edition
If BBCCI cancels an edition, it tells all participants in writing, together with the refund or credit that applies under the edition's terms.
Costs not paid to BBCCI
BBCCI refunds only fees paid to BBCCI. Flights, hotels, visa fees, insurance, freight, customs charges and other costs paid to others are not refunded by BBCCI. Consider travel insurance that covers cancellation.
How refunds are paid
Refunds are paid to the account that made the payment, by the same route where possible. Participants in Bangladesh are refunded in taka; international payers are refunded by bank transfer. Bank or gateway charges are applied as stated on the invoice.
BBCCI confirms the amount and the expected payment date in writing.
Questions and disputes
For questions about a cancellation or refund, write to [email protected]. If you disagree with a decision, reply in writing and BBCCI will review it. The section on governing law and disputes in the terms of participation applies.
